Frequently asked questions
Are electronic signatures legally binding in Australia?
Yes, for most business documents. Electronic signatures are recognised under the Electronic Transactions Act 1999 (Cth) and corresponding state and territory legislation, and in New Zealand under the Contract and Commercial Law Act 2017. Some documents (certain wills, powers of attorney, or documents with specific statutory requirements) may still need wet ink — check for your document type; we don't provide legal advice.
What evidence do I get that a document was signed?
Every completed envelope produces a digitally sealed PDF (PAdES standard with a trusted timestamp) and a certificate of completion listing every recipient, when they viewed and signed, their IP address, and the document's cryptographic fingerprints. For envelopes completed from 27 September 2026, the certificate is sealed the same way, and every page of both carries a SignSwifly ID (for example AU-2ad84da3-…) that leads back to the envelope, so support can find it from a single page. The audit trail is hash-chained, so any tampering is detectable.
How can I check a signed document is genuine?
Open Verify a document and choose the PDF. Your browser works out the file’s fingerprint and only that is checked against our records, so the document never leaves your device. It confirms whether the file is exactly the one SignSwifly sealed, and which envelope and when. A copy that has been edited, re-saved or printed to PDF won’t match, even if it looks the same.
Adobe Reader says the signature has problems. Is the document still valid?
Yes. SignSwifly currently seals documents with its own certificate, which Adobe doesn’t recognise by name, so it warns that it can’t confirm who signed. Adobe still shows whether the document has changed since it was sealed, and Verify a document confirms the file is an unchanged SignSwifly original. A certificate on Adobe’s Approved Trust List, so Adobe shows the seal as trusted, is Coming soon
Do my signers need an account?
No. Signers receive a secure personal link by email, or by text where you use SMS, and sign from any device — phone, tablet or computer — with nothing to install and no account to create. They can draw their signature, type it or upload a photo or scan of it; someone signing in person on your device can draw or type.
Can I upload Word documents?
Yes. Upload a PDF or a Word document (.doc, .docx, .rtf) — Word files convert to PDF automatically before you place the signing fields. On Solo and up, a Word file added to an envelope stays editable until it’s sent: Edit wording opens it in the document editor to fix a typo, and you can write a document from scratch there, or open one from your computer, and send it for signing. See Documents.
Where is my data stored?
In Microsoft Azure data centres in Australia, in line with the Australian Privacy Principles — documents, signing evidence and account data alike. Completed documents are sealed and kept in write-once storage for 7 years, so any change would show. See our Security page for the full evidence design.
How does witnessing work?
Add a witness to any signer and the witness signs after them: on the signer's device, straight after them, or on a link of their own, emailed as soon as the signer has signed, even if others are still to sign. If you don't know the witness yet, the signer can name them as they sign. Before signing, the witness confirms that they saw the signer sign and, on their own link, how (in person or by video call). The audit trail records that, both signatures and the order they happened in. SignSwifly doesn't record the signing itself, and a witness signing on their own link afterwards is not evidence that they saw it. Witnessing rules differ by state and by document, and you're responsible for using a way the law accepts for yours: see E-witnessing.
What does it cost?
The Free plan sends 3 envelopes a month, with no time limit, and keeps up to 3 drafts at a time. Paid plans — Solo (10 sessions), Team (80 sessions, 5 users) and Scale (400 sessions, 20 users) — add volume and users, and let you choose your own expiry, reminders and completion emails (Free envelopes get 90 days to sign with weekly reminders). Sealed documents, the audit trail, witnessing and templates are on every plan — Free includes 2 templates, and keeps documents available for 6 months after an envelope finishes. Solo is $99 a year or $9.90 a month, Team $544.50 a year or $49.50 a month, and Scale $1,990 a year or $199 a month — all GST inclusive, and founding prices: yours stays the same for as long as you keep the same plan and billing frequency. Paying yearly is two months free on Solo and Scale and one on Team; quarterly is also available. See Pricing.
What counts as a signing session?
One document (or bundle) sent for signature, however many people sign it. Drafts don't count. A session is counted when you send, so an envelope that is later declined or voided still uses one. The Free plan's 3 envelopes a month are counted the same way, and once they're sent, a new envelope can't be started until the allowance starts again on the 1st, unless you buy single envelopes: $1.75 each, or $2.50 with SMS, kept until you use them. Drafts you already have can still be edited, and sent from then.
What if I don't know who will sign for the other side?
Send it to someone who does. Add a nominated signer and the person you send to names who signs for their side when they finish their part; that person is invited straight after, and the certificate of completion records who nominated whom. It's on Solo and up.
Can I send one document to a whole list of people?
Yes, with bulk send on Team (up to 25 envelopes a batch) and Scale (up to 250). Choose a template, fill in a spreadsheet with a row for each person and upload it as a CSV. Every row is checked before anything is sent, each person gets an envelope of their own, and one page tracks the batch. Each envelope counts as a signing session.
Can my whole company sign in with our existing Microsoft accounts?
Yes, on the Scale plan. Company sign-in works through Microsoft Entra ID, Okta, Google Workspace, ADFS, or another OIDC or SAML provider. We connect your provider with your IT team, your admin tests it, and then you can require it for everyone on your verified email domains, with required MFA for anyone who signs in another way. (Required MFA and idle sign-out don’t need Scale: they come with Solo and up. See Required MFA and idle sign-out.) Once it's set up, staff use Sign in with your company. See Company sign-in & SCIM.
Can our directory add and remove users automatically (SCIM)?
Yes, on Scale. SignSwifly supports SCIM 2.0, with step-by-step setup for Microsoft Entra ID and Okta. People are added, updated, suspended and removed as your directory changes, directory groups can be mapped to the Admin or Member role, and a sync never suspends, removes or demotes the workspace owner. Each provisioned person holds a seat.
Do you have an API?
Yes, on Solo and up. The REST API creates and sends envelopes from uploaded documents or your templates, reports their status, and downloads the sealed documents and certificates, using API keys limited to the scopes you choose. Signed webhooks tell your systems when an envelope is sent, viewed, signed, completed, declined, expired or voided, and when an email to a signer can’t be delivered. Start with the getting started guide, or see the API reference.
Can we delete envelopes and documents?
You can delete a draft: it’s deleted for good, with every document added to it. A sent envelope can’t be deleted, only voided while it’s out for signing, and it stays as a record with its audit trail and, once it completes, its sealed copy. Templates and PDFs saved in the PDF editor are working files your team can delete. See Keeping and deleting documents.
How long do you keep our documents, and can we set our own retention?
On Solo, Team and Scale, documents stay available for as long as your workspace exists; on Free, for 6 months after an envelope finishes. On Scale you can set a retention policy: documents are withheld a set time after an envelope finishes (30 days to 10 years) and, if an admin confirms it, deleted after a 7-day grace period, with every deletion recorded on the envelope's audit trail. Sealed copies are kept in write-once storage for 7 years whatever the policy. With the legal hold add-on to Scale, priced in your agreement, an owner or admin can place a legal hold on chosen envelopes, on everything one person sent or sent in a period, or on everything the workspace sends: held envelopes’ documents aren’t withheld or deleted by the policy until the hold is released. A hold keeps sent envelopes only: drafts, templates and PDFs saved in the PDF editor are working files, so download any you need to keep.
See Keeping and deleting documents for how the retention policy and legal holds work.
Can we export our data?
Yes, on Team and Scale. The owner or an admin can export a CSV of envelopes for a date range together with their sealed documents and certificates of completion, ready to move into your own systems. See what an export holds.
Can you help with our security review?
Yes. Send us your questionnaire and we'll walk your team through how sealing, storage and sign-in work. Scale includes help with security reviews and priority support. See SignSwifly for enterprise.
Can signers be reached by text message?
Yes. A signer can get their signing link by text as well as by email, or by text alone, and you can ask for a code texted to their mobile before they sign. Scale includes 300 texts a month; on Solo and Team it’s the SMS add-on, 30 texts a month for $5.50 or 150 for $27.50; on Free, a single envelope with SMS, $2.50, texts up to 4 people. See SMS to signers.
